What to include in a pool service report
Published October 11, 2026 by Total Pool Solutions, Miami
A short report after every visit shows the customer what you did, answers questions before they call, and gives you a record if there is ever a problem with the water.
The checklist
- Date and time of the visit, and who did it.
- Water readings: free chlorine, pH, alkalinity and stabilizer at least. Mark anything out of range.
- Chemicals added and how much, so the next reading makes sense.
- Work done: skimmed, brushed, vacuumed, emptied baskets, cleaned the filter.
- Photos of the pool and of anything the customer should see, like a leak or a broken part.
- Notes and next steps: repairs to approve, a part to order, or when you will be back.
Keep it short
Customers read reports on their phone. Put the overall status first (water balanced, needs attention or out of range), then the details.
Send it the same day
A report that arrives right after the visit answers the "did you come today?" question before it is asked. With Pool Tech Pro the report goes out by email when the technician saves the visit, in English or Spanish.
